This policy explains what Sophic Rentals LLC ("Sophic", "we") collects when you use sophicrentals.com, apply to rent a vehicle, or apply to drive on our fleet, and what we do with it. We wrote it to be read, not skimmed past.
What we collect
When you apply: your name, mobile number, email address, which platform you drive for, whether you hold a valid license, your insurance status, preferred vehicle, and — for fleet-driver applicants — your rideshare experience and the hours you want to drive. After payment: your date of birth, home address, and photos of the front and back of your driver's license. Payment card details are entered on Stripe's checkout page and never reach our servers; we receive only a confirmation that the application fee was paid.
If you rent or drive with us: proof of insurance, your rental or driver agreement, vehicle condition photos, mileage and charging data from the vehicle, and payment history.
Automatically: standard web analytics (pages viewed, device type, approximate location from IP address, referring site) and a hashed version of your IP address used only to prevent spam submissions. We use Google Analytics, Meta Pixel and Vercel Analytics for this. You can opt out of Google Analytics with Google's browser add-on.
Why we collect it
- To verify you are 21 or older, hold a valid license, and carry the insurance our vehicles require.
- To contact you about your application, your rental, billing, vehicle maintenance and insurance status. By submitting an application you agree that we may text and email you for these purposes; reply STOP to any text to stop.
- To run our business: billing, insurance claims, recovering vehicles, and complying with California law.
- To understand how the site is used and improve it.
Who we share it with
We do not sell your personal information. We share it only with services we use to run Sophic: Stripe (payments), Supabase (secure database and document storage, hosted in the United States), Vercel (website hosting), Twilio and Resend (text and email delivery), analytics providers named above, our insurance carrier and — where you are a fleet driver or rental customer — the rideshare platform where required for vehicle approval. We may disclose information when the law requires it, to enforce our agreements, or to recover a vehicle.
Your California rights (CCPA/CPRA)
California residents may request that we disclose the personal information we hold about them, correct it, or delete it, subject to legal retention requirements. We will not discriminate against you for exercising these rights. To make a request, email [email protected] with "Privacy request" in the subject line. We may need to verify your identity before acting.
How long we keep it
Applications that never proceed to a rental or driver agreement are deleted 12 months after submission. Records connected to a rental or driver agreement are kept for the length of the agreement plus the period California law requires for insurance, tax and dispute purposes. License photos are stored in a private bucket, are never public, and are removed on the same schedule.
Security
The site is served over HTTPS. Documents are uploaded directly to private storage using one-time signed links and can only be viewed by Sophic staff who sign in. Our staff never ask for your card number, and we don't store it.
Children
Our services are for adults 21 and over. We do not knowingly collect information from anyone under 18.
